Product rental management software with a booking calendar

By Thamjeed Lal, Founder · Published by ATSCOM Technology Experts LLP · Updated

Quikpair’s product rental management software rents equipment out for a date range, from the booking to the return. A rent order is created, confirmed, handed over, extended if needed and taken back, with deposits, rent and charges collected along the way and a booking calendar showing what is out.

Rent orders from booking to return

New on Rent creates an order for a customer with a start and end date and time, the items and quantities, and delivery details if you are dropping the equipment off. Confirm reserves the specific units for a serialised item, Handover gives them to the customer, and Return books each unit back with its return time and condition: good, damaged or lost.

Cancel keeps the record of a booking that is not going ahead, and Print gives a rental invoice listing the items, the hire period, deposits and what is due. The order can be shared by WhatsApp or SMS.

Rental booking calendar and availability

The Availability tab shows what each product has free for a date range, and Fully booked when nothing is left. Availability is worked out for the whole window, so an item out until Friday is not free for a Wednesday booking.

The rent calendar shows the month’s bookings with their status, and New rent order on this day starts a booking with the date already set.

Device rental pricing by duration

Mark a product Rentable and add tiers, a rate for a day, a week, a month or whatever durations you rent by, so a long booking can cost less per day than a short one. Re-suggest cheapest on an order picks the tier combination that costs the customer least for their window.

Deposits, extensions and swaps

The money panel keeps rent, the refundable deposit and charges apart. A deposit is not revenue: it sits against the booking until the item is back, then covers damage or goes back to the customer, and Issue Refund pays back any difference.

Extend handles a planned extension, a late return or an early return; Get pricing options re-quotes for the new window. Swap replaces a faulty serialised unit without redoing the booking, and Unit Swaps keeps the history of which unit was out when.
