Repair shop accounting software with cash book, bank book and expenses
By Thamjeed Lal, Founder · Published by ATSCOM Technology Experts LLP · Updated
Quikpair’s repair shop accounting software puts an account behind every rupee that moves: cash drawers, bank accounts, cards, UPI and cheque, each with a balance and a statement. Expenses are recorded with categories, tax and receipts and paid from those accounts, so the cash book, bank book and profit and loss are built from the same entries.
Payment accounts for cash, bank, card and UPI
Add Account sets up a cash, bank, card, UPI or cheque account with a name, bank details if it is a bank account, a description and an opening balance. Every payment in Quikpair, on a sale, repair, purchase or expense, names the account it went into or came out of, so each account’s statement lists every movement with a running balance.
Add cash puts a float or a deposit in, and Withdraw cash takes money out. An account you no longer use can be made inactive without losing its history. Quikpair keeps these accounts with double-entry accounting.
Cash book and bank book
The Day Book lists everything that happened on one day in order. The Cash Book is the cash ledger, filterable to one cash account, and the Bank Book does the same for bank accounts. Cash Flow shows money in against money out over a period, and Profit & Loss puts income against expenses.
When the till does not match, the Day Book and the account statement show each payment, transfer, deposit and withdrawal as a line.
Transfers between accounts
Account transfers moves money from the till to the bank or between banks, with an amount, date, reference and description. Banking the day’s takings is a transfer, not a withdrawal, because the money has not left the business. A transfer entered wrongly is reversed rather than deleted, so the trail stays intact.
Expense tracking with receipts and recurring bills
New Expense records a category, date, amount and tax rate, a description and the document number on the bill. Upload Receipt attaches a photo or PDF of the bill, or Skip for now adds it later. An expense can be linked to a supplier or customer and to a specific repair, sale or purchase.
- Recurring schedules: Daily, Weekly, Monthly, Quarterly or Yearly, with a start date and optional end date.
- Add Payment pays an expense in full or in parts from a payment account; the status moves from Due to Partial to Paid.
- Filter expenses by category, payment status, one-time or recurring, and date range.
- Expense Number is generated automatically if you leave it empty.
